Bellevue Youth Symphony Orchestra (BYSO) is a 501(c)3 nonprofit organization in Bellevue, Washington, established to provide a unique and stimulating musical environment for Eastside youth seeking to advance their potential beyond traditional in-school programs. Now with six large orchestras and three smaller instrumental ensembles, BYSO has been serving students in elementary through high school since 1964. BYSO is a thriving, fiscally stable organization with a dedicated Board poised to further its Mission:

BYSO focuses intensively on each student’s musicianship with a commitment to guide and support the whole person and uniquely complements and builds upon both school music programs and private instruction. BYSO is poised to grow from a local youth orchestra organization into a recognized, regional leader in youth orchestra. BYSO is a forward- looking organization, innovating and evaluating its organizational structure and infrastructure investments to broaden its reach and impact in the community while maintaining, at its core, a program focused upon expanding the capabilities of its student musicians. Position
The Operations & Marketing Associate provides support for the programmatic and administrative operations of Bellevue Youth Symphony Orchestra in the areas of academic year rehearsal/retreat/concert production, summer camp, community outreach performances, communication, social media, and staffing. Reporting to the Executive Director, this position works in close collaboration with the Administrative Staff, Conducting Staff, Coaching Contractors, Students, Families, and Community to maintain BYSO’s guiding principal of supporting the whole child through participation in ensemble music-making.
This is a full-time non-exempt hourly position. Rate of pay is $23 – $25 per hour (DOE). The Operations & Marketing Associate will be required to attend evening and weekend events related to BYSO activities.
Core Responsibilities
- Act as a first point of contact at the BYSO administrative office (answering phone, greeting guests, etc.).
- Oversee the management of the BYSO administrative office, including acting as a first point of contact (answering phone, greeting guests, etc.), ordering programming and administrative supplies, and facilitating deliveries.
- Manage BYSO’s general contact email account, forwarding messages to appropriate staff.
- Provide on-site support for BYSO’s Monday and Tuesday night Rehearsals, Saturday Retreats, Concerts, and Auditions. This includes setting up and restoring spaces, taking attendance, and directing volunteers.
- In collaboration with the Operations Manager, oversee rehearsal/retreat schedule to ensure that each ensemble is assigned the appropriate rooms for their session.
- Request and Collect Monthly hours from BYSO’s robust list of independent contractors.
- In collaboration with the Music Director, facilitate filling substitution requests from extensive list of coach contractors.
- In collaboration with the Executive Director, Music Director, and Operations Manager, oversee community outreach performances.
- Manage BYSO’s music library, including digitizing new acquisitions.
- Manage BYSO’s social media (currently Facebook and Instagram) accounts. Creating and posting content that appeals to our students, families, and broader community.
- Assist Operations Manager with the management of BYSO’s robust volunteer program (over 300 volunteers).
- Act as a camp director for BYSO’s 3 weeks of Summer Camps. This includes ensuring the safety and well-being of campers, overseeing a team of up to 10 student interns per week, and developing camp-wide non-musical activities for each week of camp.
- Conduct research and collect data vital to BYSO’s implementation of its Strategic Plan.
- Act as a level of redundancy for the Operations Manager and Advancement Manager, and able to step in accept some of their core job responsibilities for short periods of time.
- Other duties as assigned/required.
Qualifications
Required:
- Highly organized, self-motivated, efficient, and excels at time management skills.
- High degree of flexibility in response to daily shifting priorities.
- Exceptional interpersonal skills and able to work with a wide variety of personalities, maintaining a professional demeanor when faced with challenging situations.
- Appreciation for and understanding of the needs of student musicians and music educators.
- Excellent written and verbal communication skills, strong attention to detail is essential.
- Creative problem-solving ability.
- Valid driver’s license and access to vehicle required for transportation needs.
- Must be able to work regular evenings, weekends, and some holidays as required by the performance schedule.
- Must be able to handle the physical demands commensurate with the position including lifting up to 35 lbs.
- Proficient in computer applications, including: Microsoft Office Suite, Mailchimp, Canva, Salesforce, Google Sheets, Survey Monkey, Form Assembly, Zoom.
Preferred:
- A bachelor’s degree in music/Music Education/Arts Management or equivalent; 1-2 years of experience working with orchestras or other educational/arts/musical organizations can substitute for the degree.
- Knowledge of classical music, orchestral repertoire, instrumentation, and industry practices preferred but not required.
