Why Are You Needed As A Volunteer?
As a non-profit, we operate on a very slim budget and in order to keep your tuition as low as possible, we need and highly value all of your help in a volunteer capacity in preparing for and doing the concerts, retreats and other miscellaneous events. You truly make a difference in our bottom line expenses.
We ask each family that the students' parents volunteer a minimum of 2 hours per child in the program during each BYSO fiscal year (August through May).
Below, you will find a description for the various volunteer opportunities that will occur during each year:
BYSO Volunteer Job Opportunities
AUDITION ASSISTANCE: volunteer helps to set up needed rooms for students; posts appropriate signage; collects completed and signed paperwork. At end of Audition sessions - take all signage down; rearrange rooms to pre-audition order; check bathrooms and pickup if necessary.
AUDITION MESSENGER: Escorts student to Audition room.
CONCERT SET-UP ASSISTANCE: Volunteer helps to set up needed rooms or stage area for students as needed.
CONCERT CHAPERONE: Stays with the BYSO students (one orchestra group) from their call time to end of the concert. You will be helping to keep students under control during concert times as well as assisting the Conductor as needed.
CONCERT CLEAN-UP: Volunteer helps to clean up needed rooms; stage area; and front hall area as well as help to load up items into designed car after the concert is over.
CONCERT PROGRAM COLLATING & TICKET TAKING: Arrive early to fold and collate programs; then take tickets at the door.
CONCERT PROGRAM COLLATING & HANDING OUT PROGRAM: Arrive early to fold and collate programs; then hand out programs at the door.
CONCERT SECURITY: Watching cases and kids coats, etc. during a performance.
CONCERT SPECIAL GUEST HOST: Assist anyone who needs extra help in locating handicapped seating.
CONCERT TICKET SELLER: Sells tickets to concert attendees (handles money).
MOVING PERCUSSION EQUIPMENT: Moving to and from concert location - (drums, tympani, bass drum, assorted percussion equipment as per instructions from conductors or Executive Director, two boxes of music stands). The storage locker is located in the Bellevue in the 140th St. area. You will need a large vehicle for transporting items.
NEWSLETTER COLLATION & MAILING PREPARATION: Assistance in folding newsletter; stuffing, labeling and sealing envelopes in the BYSO office.
PARENT REHEARSAL ATTENDANCE TAKERS: Take attendance at Monday night rehearsals.
POINT PERSONS: Direct students to the appropriate Greenrooms - needs to arrive at the student's concert call time.
SNACKS & BEVERAGES FOR RETREATS: Purchase snacks, drinks and water for the students as directed form the BYSO office. Food & drink expenses are reimbursed after receiving the appropriate receipts.
ORDERING RETREAT LUNCH: The pizza, plates, and napkins will need to be ordered a minimum of 4 days ahead of retreat; requesting that the food be delivered at 11:30 a.m. at the designated location the day of the retreat. Appropriate Instructions (i.e. number of pizzas to order) and payment arrangements will be determined by the BYSO office.
SERVE & CLEAN UP LUNCH AT RETREAT: Serves lunch and clean up lunch at the Retreat.
RETREAT CLEAN UP: Helps stack chairs; put rooms back into their normal order; miscellaneous pick up and assist with loading up the head coordinators vehicle.
SENIOR INTERVIEWS: Interviews graduating Seniors. Questions come from the BYSO office.
STUDENT AWARDS ORDERS: Place orders & pick up the plaques for the 2004-2005 Student Awards. Details come from BYSO office.
SUMMER CAMP BROCHURE DISTRIBUTION: Deliver 50 - 60 Brochures to various locations and post approximately once in February and again in May.
SPECIALIZED JOBS
Graphic Design: Helps with miscellaneous program design - Needs to have Adobe InDesign program. Time: various, as needed; can be done at home.
Librarian: Time: beginning of each quarter, on call after that. Works with individual conductor, as per his / her needs
Team Point-Person: Coordinates with Administrative Assistant volunteers for each orchestra Does not "do", but "delegates".
Head Stage Manager: Point person for the stage sets ups for all the major concerts
Concert Recording: Records & duplicates DVD's of all the concerts.
